Privacy Policy

Visible Office (“Visible Office,” “we,” “us,” or “our”) is a customer-relationship and front-office platform operated by Hyper Chimp Solutions LLC. This Privacy Policy explains what information we collect when you visit visibleoffices.com, create an account, or use the Visible Office service (the “Service”), how we use that information, and the choices you have.

By using the Service you agree to the practices described here. If you do not agree, please do not use the Service.

1. Information we collect

We collect three categories of information:

• Information you provide. Account details (name, email, phone number, business name), billing information processed by our payment provider, content you upload or generate inside the Service (contacts, tickets, notes, messages, voice recordings, attachments), and anything you send us through support channels or web forms.
• Information we collect automatically. Log data (IP address, browser type, pages visited, timestamps), device identifiers, cookies and similar technologies, and usage analytics that help us understand how the Service is used.
• Information from third parties. When you connect external accounts (email, calendar, telephony, messaging, CRM data sources) we receive data from those providers under the scopes you authorize. We also receive limited data from our infrastructure providers (e.g., Twilio for telephony, Stripe for billing) needed to operate those features.

2. How we use information

We use the information we collect to:

• Provide, operate, secure, and improve the Service;
• Authenticate users, process transactions, and provide customer support;
• Send transactional and service notifications (account alerts, ticket updates, appointment reminders, billing notices, security messages);
• Train and operate the AI features inside your account, scoped to your data;
• Detect, investigate, and prevent fraud, abuse, or security incidents;
• Comply with legal obligations and enforce our Terms of Service.

We do not sell your personal information, and we do not use the content of your communications to train general-purpose AI models that serve other customers.

3. SMS and mobile information

No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Information sharing to subcontractors in support of services we provide to you (for example, telephony providers like Twilio that route the message) is permitted. All other categories exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties.

When you opt in to receive text messages from Visible Office, you agree to receive transactional and service messages such as account alerts, ticket/appointment notifications, customer-service replies, and one-time passcodes. Message frequency varies based on your account activity and is generally fewer than 2,000 messages per month. Message and data rates may apply. Reply HELP for help or STOP to opt out at any time. 4. How we share information

We share information only in these limited situations:

• Service providers. Vendors who process data on our behalf under written agreements (hosting, telephony, email delivery, payment processing, analytics, security tooling).
• Within your workspace. Content you create is visible to other authorized users in the same workspace according to your access controls.
• Legal and safety. When we reasonably believe disclosure is required by law, subpoena, or to protect the rights, property, or safety of Visible Office, our users, or the public.
• Business transfers. In a merger, acquisition, financing, or sale of assets, subject to standard confidentiality protections.
• With your direction. When you connect a third-party integration or instruct us to share data with a specific recipient.

5. Cookies and tracking

We use first-party cookies and similar technologies to keep you signed in, remember preferences, and measure how the Service is used. You can control cookies through your browser settings; some Service features may not function without them.

6. Data retention

We retain account and content data for as long as your account is active and for a reasonable period afterward to comply with legal obligations, resolve disputes, and enforce our agreements. You can request earlier deletion at any time (see Section 8).

7. Security

We use administrative, technical, and physical safeguards designed to protect your information, including encryption in transit, access controls, and audit logging. No system is perfectly secure; please use a strong password and notify us immediately of any suspected compromise.

8. Your rights and choices

Depending on where you live, you may have rights to access, correct, delete, export, or restrict the use of your personal information, and to withdraw consent. To exercise these rights, email privacy@visibleoffices.com. We will respond within the timeframes required by applicable law. You may also opt out of SMS at any time by replying STOP, and unsubscribe from non-essential email through the link in any such message.

9. Children’s privacy

The Service is not directed to children under 13 (or 16 in jurisdictions where that is the relevant age), and we do not knowingly collect their personal information. If you believe a child has provided information to us, contact us and we will delete it.

10. International users

Visible Office is operated from the United States. If you access the Service from outside the U.S., you understand that your information will be processed in the U.S. under U.S. law.

11. Changes to this policy

We may update this Privacy Policy from time to time. When we make material changes we will update the “Effective” date above and, where appropriate, notify you by email or in-product notice.
